Job Opening ID: 12023 Reports To: Director of Clinical Services Working Title: Senior Admitting Worker Department: Samueli Integrative Health Bargaining Unit: EX FLSA: Non-Exempt Payroll Job Code: 009032 Job Location: UCI Campus- Irvine Percent of Time: 100% Work Schedule: 8-5, M-F Employee Class: Career Position Summary: Under the general supervision of the Director of Clinical Services, incumbent serves as first point of contact for patients in the clinic. The clinic receptionist is responsible for providing a welcoming, efficient and friendly first contact with patients arriving for appointments or received over the phone. Primary duties include greeting all patients as they arrive, answering phones, pre-registering patients for their appointment, scheduling initial and follow up appointments, canceling appointment verifying and updating insurance information, collection of payments and issuing receipts for services provided and supplements purchased. Enters patient data to the registration system and verifies insurance and/or third party coverage. Serves as a backup for authorization and referral. The clinic receptionist will also be responsible for reconciling receipts at the end of the day and preparing daily deposits for pick up. The clinic receptionist is responsible for creating a clean reception environment and welcoming first contact with patients over the phone or on presentation for appointments. Compensation Range: Hourly $20.46 - $22.59 Department Website: Required: * Ability to greet patients, vendors, university officials and the general public by telephone and in person. * Able to provide information about UCI and the center as requested. * Demonstrate experience on registration/scheduling systems. * Coordination of forms and materials required for initial visits. * Demonstrate experience in handling high volume of calls. * Demonstrated experience working in a clerical position, preferable in a hospital or clinical setting. * Ability to provide excellent customer service skills. * Excellent organization skills. * Demonstrated experience using a computer, including data entry and retrieval. * Recent experience working within an Electronic Medical record within a front office environment. * Demonstrated experience with cashiering procedures in an ambulatory clinic. * Ability to work flexible work schedules and work well in constantly changing environment. * Demonstrate high quality of work. * Strives for continuous improvement. * Demonstrates effective time management to promote productivity and cost efficiency. * Demonstrates the ability to treats all customers as welcome guests. * Recent experience processing referrals and authorizations. * Knowledgeable of diagnosis and CPT codes. * Maintain office suite in a presentable manner. * Distribute mailings. Copy and file records. * Verify complete information on records. * Adaptable to change and process improvements. * Able to work within a team environment to achieve department goals. * Ability to work a variable shift. Preferred: * Experience with QuickBooks. * Experience with inventory management and control. * Performing Billing and Collection tasks. * Fax letters, records in accordance to HIPPA regulations. * Bilingual in English and Spanish. Special Conditions Required: Occasionally work on weekend day for SSCIM conferences or special events. Final candidate subject to background check.
