Job Description Our Client Partnership Supervisors play a pivotal role in the overall success and productivity of every project we touch. You'll manage all of the following: * Resource * Assignment Summaries * Interception / Ingress and Assessment / Delegation * Master Schedule * Milestones * Project calendars * Creative schedules Plus, you will: * Ensure production milestones are met * Organize & maintain version control We are looking for someone who has the ability to adeptly handle: Project Ingestion Management o Assess LOE required to ingest a new job or project. o Identify resources required to manage the project and impact on existing projects. o Confirm the potential impact vs risk associated with managing incoming projects. o Develop the schedule and ensure it is followed and understood by all parties. Burn Rate Management o Participate in evaluation of resource burn rates; ensuring that the duration and a schedule of a project coincide with projected vs actual hours. o Manage resource tracker and reconciliation of initiative forecast vs actuals. Project Communication Management o Ensure involvement of appropriate team members during each project phase. Drive team communication and facilitate collaboration to avoid roadblocks. o Document, elevate and communicate implications if deadlines are missed or processes are not followed. Mitigate the plan so the project stays on track. o Facilitate and drive the creative development process, including preparing for creative presentations to clients. o Partner with cross-functional team members to determine RASCI (responsible, approver, support, consult, inform) on a project-by-project basis. Project Risk and Mitigation Management o Encourage and support escalation and facilitate core team communication. o Perform risk analysis and document mitigation agreements/plans. o Manage project priorities. o Maintain a log of risks and issues, and work with the team to mitigate/resolve. Project Approval and Quality Management o Facilitate internal approvals of work and ensure communication and decisions are clear. Supply appropriate backup. o Track rounds of reviews, iterations and changes. o Set-up, share and maintain project files. Enforce teams to store files in their respective folders. o Ensure assets are numbered and routed appropriately. Enforce asset process. o Set up and drive internal creative review meetings and lead status meetings. o Share and apply lessons learned from previous projects. o Lead post mortem meetings at various stages of the project. Project Scope/Budget Management o Participate in the scope process of new projects and own any required documentation. o Enforce effective change control. Manage documentation of change requests. o Identify shifts in timing, deliverables, and resources while communicating to other scope managers of potential impacts. o Track resource scope and burn. o Partner with other disciplines to inform on project budget impacts and dependencies. o Able to maintain and track large production budgets, finding ways to maximize budget spend and production efficiencies. Project Time Management o Ensure projects work start on time with appropriate information and appropriate team members. o Develop and maintain large-scale project plans with multiple work streams and interdependencies; identify and resolve potential scheduling issues. o Proactively obtain and effectively communicate project status and next steps daily, in alignment with project plan. o Inform and control internal workflow; tactically manage day-to-day operations. Understand how the details roll up to the big picture. Forecast next steps to meet major milestones and overcome roadblocks. o Ensure projects stay on schedule. Ensure the team is aware of deadlines, understands processes and has the resources to meet deadlines. Track issues and work with team and stakeholders to manage impact on the project.
