Job Title: Construction Administrator SUMMARY This position is key in overseeing all of the Company's projects in the SW Division to ensure they are managed in accordance with professional project management standards and established company procedures. The Construction Administrator will coordinate with the General Manager, project managers, supervisors and company departments to obtain and provide information to achieve objectives. The Construction Administrator will direct the activities of other Project Managers as required. Essential Duties and Responsibilities: Reviews contracts and ensures the accuracy of the project data within company systems. Reviews project set up and ensures that the labor being utilized by the PMs upon the project is in accordance with state and/or federal regulations, including public works contracting regulations, in addition to meeting company policies. Directs administrative staff to file regulatory documents. Directs PMs to modify labor needs as necessary to achieve project and contract goals. Reviews purchase orders and subcontracts issued in connection with construction activities. Instructs PMs on establishing appropriate scope, flow down and specifications to incorporate into the documents. Will write documents, edit and/or instruct administrative employees or PMs for necessary document modifications. Reviews project submittal logs and ensures protocols are being followed by drafting and PMs to record all approved submittals as well as those which are rejected. Reviews submittal documents from subcontractors to verify accuracy and compliance. Identifies for PMs those subcontractors who may not be permitted to commence work until required documents are submitted and approved. Participates in company meetings to understand project schedules and barriers for work upon the project. Gathers and reviews daily construction reports to learn of emerging issues. Instructs PMs about written notices to parties to the contract for delays, clarifications, and more. May write, edit and/or instruct administrative employees or PMs for necessary document modifications. Organizes the timely invoicing of projects and interfaces with Accounting Department and PMs to ensure invoice accuracy and project requirements are met. Ensures that timely subcontractor invoices are being submitted by PMs and oversees that approvals are in line with contract requirements. Ensures that projects are being systematically closed out and that documentation relating to punch lists, approvals, maintenance manuals and warranties are being maintained. Provide training to PMs and superintendents relating to project management protocol and administrative compliance. Creates systems within the Division to help ensure project management disciplines are maintained. May attend job site meetings and inspections as needed. Other duties as assigned.
